Boodle’s is looking for an experienced Events Coordinator to join the team at the Club. The ideal candidate will have previous experience in a similar environment, have great attention to detail and a friendly, customer-focused demeanor.

Essential skills/knowledge:
· Minimum 1 years’ experience as an Events Coordinator
· Strong experience of 4* deluxe hospitality establishments, or higher
· Intermediate admin skills – including typing, Word and Excel
· Experience of private dining, banqueting and large events
· Excellent customer service skills
· Excellent communications skills (fluent spoken and written English essential)
Desirable/preferred:
· Experience of private members’ clubs
· Knowledge of MS Publisher
Main duties/responsibilities
As well as being able to deputize for the Private Dining and Events Manager during periods of absence, the Coordinator will have the following principal duties:
Private Dining & Events:
· Handle private dining enquiries for events in the Club and No.27.
· Liaise with Members regarding their food, drink and other requirements.
· Conduct show-rounds as required.
· Liaise with Chef to ensure menus and prices are correct.
· Produce all necessary table plans, place cards and menus.
· Liaise with Club suppliers, including equipment companies and florists, to make the necessary arrangements for each event.
Club Events:
· Research and source speakers for Club Events.
· Maximise opportunities to sell functions to Members and up sell where possible.
· Prepare guest lists for Club Events and register Members on the night.
· Assist with the hosting of Club Events.
Exhibitions & Theatres:
· Arrange Members’ theatre and exhibition trips, sending out all relevant information and ensuring all monies are received.
· Book the relevant tickets and suitable transportation to and from the theatre/gallery and accompanying the Members when required.
Events admin:
· Assist with the production of weekly function sheets for all events and attend weekly operations meeting.
· Assist in the analysis of Events business collating reports to help track trends (monthly reporting).
· Assist with the analysis of event profitability.
· Undertake training as required.
Communications & Marketing:
· Produce Club Event notices and lists of Attendees.
· Design adverts for promoting Club events.
· Assist in the production of the Newsletter, Website, e-shot and mail.
· Produce and update Club notices on a weekly basis and send to Members regarding events and monitor numbers and names attending to ensure numbers do not exceed the amount required.
· Update the Club website with all Events and Diary dates.
Other requirements:
· To comply with any reasonable request made by Management.
· To assist with the training of staff as and when required.
